How do I get the charts - desktop sharing?

You need to turn OFF your popup blocker, accept, run and install a ActiveX Control by SmartCode to download this page.

Once you have downloaded the ActiveX webpage in a separate Microsoft Internet Explorer Browser you will be able to get your own charts or desktop sharing in your own chat room above the "TEXT CHAT" by exiting completely out of the chat room and coming back in again so the system can re-load the ActiveX Control - Then press the "Room Logo" above the "LIST OF MEMBERS" to see the charts or desktop sharing inside your own chat room.

File menu:

Login - Left click to log back into the chat room after using the logout option.

Logout - Left click to log out of the chat room without actually closing the software down altogether.

Exit - Left click to exit the chat room software completely.

Options - Left click to open the options menu dialogue box. There are four tabbed boxes called 'General settings', 'User Settings', 'Sounds settings', and 'Hot Key'. Left click on the relevant tab to see each dialogue box.

Under the general settings tab- The first box is where your screen name is input. Screen names can be up to 64 characters in length. The next box is where your moderator password is input if you have one. This can be up to 32 characters in length. In the next section, place a tick in the box if you wish to be automatically re-connected to the main server if you lose your connection at any time. The final option allows you to modify your Internet options.

Under information settings tab- Here you can fill out a user profile and chat room configurations. The top two boxes allow you to input your first and last name, the box below is where you can input your regular contact e-mail address. Below that you can type in the URL for your main website if you have one. It is also possible to add a logo in bitmap form. left click on the button to the right of the input box to browse to the location of your image. The large box at the bottom allows for the addition of a brief description to explain your business and introduce yourself. Finally, at the bottom is a check box, placing a tick in this box will allow other users of the room to view these details by using the View details option from the Members menu.
 

Under sounds settings tab - Here you can choose to enable or disable any of the sounds you hear in the software, such as the sound for when someone enters or leaves the room. All the sounds shown in the list you see here, can be enabled or disabled using the check box.

Under Hot Key tab- Here you can the change your hot key/talk button to what ever F key you like.

Members menu:

Right click on a members name in the list of members to get this box to appear.

Most of these options are only available to if you are the moderator of the room.

Stop speaking
- Left click to prevent selected member speaking in the room.

Reject - Left click to remove selected member from the room temporarily.

Ban - Left click to remove selected member from the room permanently or until you remove the ban.

View details - Left click to view the selected member's profile.

Browser menu:

The browser operates in much the same way as Internet Explorer. Note that when you view or change pages in the browser window, only you will see the changes you make. The exception to this is when a moderator uses the synchronize option, in which case the browser content will change for everyone in the room and display the same page that is currently in the moderators browser window.

Back - Left click to return to previous web page in the browser window.

Forward - Left click to go to next web page in the browser window.

Stop - Left click to interrupt and stop the browser when finding a web page.

Refresh - Left click to refresh a web page in the browser window.

Home - Left click to return to the home page set by the rooms owner.

Add to favorites - Left click to add the current web page URL to your favorites list.

Synchronize - Click on the arrow at the far right of the address bar synchronize the current web page so that it shows in the browser window of all members in the room. If a new member enters the room after you have synchronized the page, you will normally have to click on this again so that the new member sees the new page.

Chat menu:

From the chat menu you can configure the settings for the text chat area.

Clear for all - Left click to clear the contents of the text chat main area.

Copy - Left click to copy any text you have highlighted in the text chat area. To highlight text to copy left click and hold the mouse button at the start of the text you wish to copy, then move the mouse pointer over the text until you have highlighted all the text you want, then let go.

Select all - Left click to select all the text in the text chat area.

Save as - Left click to save the contents of the text chat area to your hard drive.

Print - Left click to open the print options dialogue box and print the contents of the text chat area.

Options - Left click to open the main text chat area options dialogue box. Here you can select the font style for the text chat area and the colors you wish to have for text and background. Below this there are 4 check boxes, select the options you require by left clicking the box and checking it with a tick. When you have finished making selections click OK to confirm.

Date and time stamps. Check the relevant box to display date, time or both each time you enter text in the chat area.

New window for private message. When this is selected and you get a private message from someone, the message will open in a separate window.

Show hint if form is minimized. When this is selected and you have the conference room minimized on your desktop, you will get a small pop-up from the task bar when someone types something in the room. This is useful if you are busy doing multiple tasks but want to keep an eye on when there is something being typed in the text chat area.

 

 

Web Cam menu:

From the Web Cam menu you can configure the settings for the web cam feature, also enable or disable the web cam. chat area.

also to keep the voice quality clear and crisp the web cam will turn off once a room has more than 20 people in it.

When you have a web cam connected to your PC and you have this option enabled, you will be able to view the web cam image of the person currently speaking in the room. The person currently speaking will appear at the bottom of the members list and have a small speaker icon to the left of their name. Anyone who tries to speak at the same time will be placed in a queue and their names will appear in order below the current speaker. Your place in the queue is also denoted by a number on the speaker icon next to your name.

View menu:

       From the view menu you can select if you want the Status bar visible or not.

Help menu:

Contents and index - Left click to access the help files.

Home page - Left click to return to the browser home page.

About - About this software.

Status bar - The status bar shows information about the current status of the room and your internet connection.

Questions & Answers:

Q. What operating systems are supported for this chat Software?

A. Windows XP, Windows 2000, Windows ME and Windows 98 SE.

Q. Error, The Audio/Video chat software was not installed properly. Please launch the installation process again.

A. Remove all instances of this chat software from your pc including add/remove programs and Reinstall software.

Q. Getting this error message trying to connect to chat room. !ROOMS SERVER WAS NOT FOUND

A. This could be caused by different things, like server maintenance, upgrades and more and is just a temp problem.

Q. I get an error message indicating it was not possible to enter or create a second room.

A. close down all open chat rooms, then start to open a room, but do not enter the room, click cancel, the click file, options, and check the box to allow multiple rooms, then you will be all set.

Q. Does this chat room software support MAC, computers!?

A. Currently it supports windows only, a mac and linux version will hopefully come in 6 to 9 months.

Q. When i attempt to use my download link for my room, i get the following message within the frame in my admin area This object has been blocked. If i use my link from an external browser page, I get a 403 forbidden message.

A. This could only come from a firewall or internet security issue on your PC.

Q. In order to be able to show a movie through the room, what format do I have to upload the movie? avi, mpeg,? And once it is uploaded, what do I have to type in the url so as to view that movie?

A. You would have to embed this movie in a webpage then simply pull that website up in the chat room. Any format that would normally play in Internet Explorer should work. Don't forget, not everyone has ALL plugins...

 

 

You will find this chat room software very easy and intuitive to use, even if you have never used this kind of product before. Here are answers to frequently asked question to help you make the most of your chat room experience.

  How do I enter a room?

Once you have the software installed on your PC, you will find a ‘shortcut’ icon on your desktop. Using the left mouse button, double click to launch the software If a new version of the software is available, then it will be downloaded automatically at this point.

Before you can enter a chat room you will be asked to login

Enter your name in the screen name box. If you are logging in as a guest in someone else’s room, we would suggest you ask them if there are any conventions they would like you to use. For example, the host or ‘moderator’ may prefer that you use your real name, or simply identify yourself as a guest in some way.

You will also see a box where you can select which room you wish to enter. If there are no names listed here then this just means there is only the main room available.

You may or may not be asked for a login password at this point, if so enter your password here.

You can also choose to login with ‘moderator’ status. This is usually the owner of the room, however that person may have given you a further password to login as a moderator. This might be the case if you are renting or leasing the room temporarily from the owner. If you do have a moderator password then left click the small down arrow next to the box that says, ‘login with moderator rights’ and enter the password you have been given.

When you are finished click ‘ok’ to enter the room you have chosen or cancel to exit.

 

When you first enter the room, you will see it is split into several ‘areas’. We will cover each area in turn in the detailed help files, but for the purposes of this quick start section they are as follows:-

Menu options- Along the top of the screen are the main drop down menu’s used to select options and configurations for the room. Some options are only available to the moderator of the room and will be ‘grayed out’.

Work area- This is the main display area and shows either a browser window or the built in whiteboard

Text Chat area- This is where you can type in your text messages to other members in the room, either publicly, or privately depending on what the room ‘moderator’ allows.

List of chat rooms- This displays the rooms currently available for you to enter, though some may only be accessible with the correct password.

List of Members- This panel shows the names of the members currently active in the room. If there is a moderator in the room his/her name would be highlighted in blue text.

Speaker Web Cam - This area displays the web-cam image of the person currently speaking.This can be switched on and off by the moderator, and is usually only used for small groups that are on high speed connections with suitable PC specifications.

Audio Controller - This area allows for the setting of microphone and speaker volumes and includes the all-important ‘talk now’ button.

Status display - Along the bottom of the screen you will see info about your connection and other status info.

  Check your speaker and microphone settings

When a member of the room is talking, you will see a small speaker icon appear to the left of their name and they will be at the top of the list of members.

If you see this and yet cannot hear anything, then check your speaker settings. You may also need to check your speaker settings for your sound card too. This can usually be done via Windows ‘control panel’ Also check your microphone volume and settings here too.

If you still cannot hear anything then try logging out of the room and back in again. It may be that you were connected via a person that has a bad connection or has just logged out themselves and has temporarily caused you to be ‘partially’ logged in. The software will normally detect this and re-connect you via someone else. In most cases logging out and back in again will resolve this manually.

  How do I ‘speak’ in the room using the audio controller?

To speak in the room, hover your mouse pointer over the ‘talk now’ button located in the bottom left corner. Click and hold the left mouse button to talk and let go when you finish. It is advisable that you click a second or two before you speak and likewise release it shortly after you finish.  This is particularly important if you are on a very slow dial-up connection as some small latency can occur. This is normal and is purely a limitation of slow connections, however this rarely affects the overall quality of speech from such connections.

When you first enter the room, at an appropriate time, ask another member of the room if they can hear you ok, to test your microphone.

Adjust the microphone volume up or down depending on the response you get using the sliders on the audio controller.

  What if I can’t see the audio controller?

Usually, by default the audio controller appears in the bottom left corner of the conference window. If for some reason you cannot see it, then it may be either disabled or de-selected. To check this, left click on the ‘View’ menu option. You will see a list of the windows that you can select or de-select. Make sure there is a tick next to the audio controller option. If not then highlight it and left click the mouse. The audio controller should now be visible.  It is also possible to minimize and maximize the audio controller window using the small up/down arrow next to where it says ‘audio controller’. When maximized you should see the sliders for controlling volume for speakers and mic, plus the ‘talk now’ button. Next to the ‘talk now’ button, there may also be a tick box.This tick box enables and disables the hands-free mic option. The moderator may have this option disabled though, in which case you will not see the tick box at all. In most cases this function is only used by the moderator, so that he can keep the mic open while giving a presentation.

  How do I use the text chat?

The text chat is very easy to use. The Text chat area has three sections. The main viewing area, the enter message box and the ‘private message to’ selection box.

Left click the mouse in the ‘your message box’ at the bottom of the main text chat area.  You can now type your message here.  When you want to post your message, left click on the ‘send’ button or hit the enter key on your keyboard.

You will see your message appear in the main text chat area. When another member in the room replies, you will see the results in the main area too. The text chat window can be made bigger or smaller depending on your preference and can also be minimized or completely disabled by the moderator of the room (see moderator functions).

To adjust the window size, hover the mouse pointer over the outer edge of the text chat area until it changes shape. It will look like a line with two small arrows either side. When this happens click and hold the left mouse button and ‘drag’ the window to the size and shape you wish by moving the mouse. When you are done just let go of the mouse button.

  What if I can’t see the text chat area?

Check the view options drop down menu, the instructions are the same as for the audio controller and the other windows that can be selected, de-selected, minimized or maximized.

 What about private messages?

Private messaging may be enabled or disabled by the moderator. If it is available, you can left click on the small arrow next to the ‘private to’ box and select a member from the drop down list to send a message to.

When you have selected a name, you then send a message in the usual way by typing in the ‘your message box’ and clicking ‘send’ or hitting enter on your keyboard.

When you receive a private message, you will see that in the main text chat window it will say- private message from, followed by the name of the member who sent it. No other member of the room will see this message.

  When I launch a chat room, the "OK" button is grayed out in the "Login Information" box! How do I connect?

Uninstall and re-install the software as per the instructions above. This happens when a major change has been made on the software and it requires a complete re-install.

  My "TALK NOW!" button and text area are grayed out! What's wrong?

Simply log out and try to log back in a few seconds later until you get a "good" connection. If you absolutely cannot get a "good" connection, use the helpdesk and post a ticket. This happens when the chat room tries to connect to an other use who has Windows XP firewall enabled or is running a 3rd party firewall. We are currently working on a fix for this top priority issue.

  What else should I know?

That is most of the basics covered. You should now be able to participate in a chat room call without too much difficulty.

However, here are just a few things you should be aware of.

There are many functions that only a moderator can action, though it is possible to have more than one moderator at a time.

When a moderator is giving a presentation, he/she may temporarily disable certain functions until they are done and open the room up for questions etc.

Details of you current connection status are seen at the bottom of the screen.

You can select browser mode or whiteboard mode in the main work area. If the moderator is trying to show you a new web-page, make sure you are in browser mode by left clicking on the correct tab. Likewise, select whiteboard to view anything being displayed there.

Please respect the integrity of the chat room and maintain basic etiquette, otherwise you may be ejected from the room or even permanently banned.

 What about the Moderator Menu?

When you're moderating a conference, there are lots of things you can do that regular conference attendees don't know about, but the most important is to control their overall experience: do you want them surfing to other Web sites while you talk, or do you want them to be able to click on pages you bring them to, or do you want them locked down, only able to see exactly what you're seeing?

Here's the Moderator menu in your Conference room:

Standard mode: No presentation mode is active. Guests and moderators can use the browser to visit Websites independently of each of other.

Follow me mode: This is the first level of presentation. The presentor can visit pages and activate the whiteboard. Guests see what the presentor sees but they do not control the browser.

Soft presentation mode: Same as follow me mode except that now, the address bar in the browser is not shown to guests. This is great for visiting competitor Websites and content that is not for public access.

Medium presentation mode: We step it up a notch. The address bar is hidden to guests and the text chat is off. This is for instances where you want people to follow the presentation before asking questions or participating.

Hard presentation mode: Full screen mode. Guests only see the browser i.e. - PowerPoint Slides etc.
